Claims module for handling transport exceptions such as damaged or lost goods, shortages, late or wrong deliveries.
When something goes wrong with a shipment, the details usually end up spread across email threads, spreadsheets and shared folders. Photos sit in one place, the carrier's reply in another, and nobody is sure which cases are still open. With Claims, everything about the case is kept in Cargoson TMS, next to the shipments it concerns.
What does Cargoson TMS Claim and Exception handling contain?
Each claim has one of seven types: Damaged goods, Lost goods, Shortage, Late collection, Late delivery, Wrong delivery or Other. It also has a status that is either Open or Closed. You set a start date when the issue is reported and an end date when it is resolved. A description field holds the short explanation of what happened.
The claim also shows the carrier and who created it, so anyone opening it later knows who to ask.
Linking shipments and documents
A claim can cover one shipment or several. You add them by typing the shipment references into the claim, or straight from a booking through Actions > Add to claim. Each linked shipment shows its route and carrier, and you can remove it if it was added by mistake.
Documents such as customs invoices, package lists or photos can be uploaded to the claim. Each file shows which shipment it belongs to and what type of document it is, so the evidence stays with the case.
Comments and status tracking
As the case moves forward, you add dated comments: what the carrier said, what was agreed, what still needs checking. Every comment shows its author and when it was added, and can be edited or deleted. This gives you a clear history of the case instead of a long email chain.
When the issue is settled, you set the end date and change the status to Closed.
PDF summary for the carrier
With one click you can generate a PDF of the claim with your company logo. It includes the claimant's company, address and contact person, the carrier, claim type, status, dates and description. It also lists every linked shipment with collection and delivery details, goods and carrier.
You can send this PDF to the carrier or insurer without writing the summary yourself.
Keeping open claims visible
Claims has its own item in the Cargoson main menu, between Manifests and Statistics. All claims are listed there in one overview with their type, status, shipments, customer reference, dates and creator. You can search the list and filter by status (Open, Closed or All) and by claim type.
In the shipments list, any shipment with an open claim gets a warning icon. Hover over it and you see that the shipment has an open claim, so your team notices the issue even if they never open the Claims page.
Getting started
Claims is available in Cargoson from the Advanced package upwards. Open Claims in the main menu and click New claim, or pick a shipment and choose Add to claim from the Actions menu. If you have questions or want a walkthrough, contact Cargoson support or your account manager.
